How we protect your firm's documents

Private storage

Documents are stored in a private file store. There are no public links. Each download uses a link that expires after 5 minutes, and file links contain only random identifiers — never client or document names.

Encryption in transit and at rest

All connections to LedgerSense use HTTPS (TLS). Our hosting provider encrypts stored data and files at rest (AES-256).

Access limited to your firm and SmartScanit

Database rules ensure people in your firm see only your firm's matters, documents and activity. Only named SmartScanit staff can see submitted matters to carry out the analysis. Staff access cannot be granted from within the app.

Audit log

Sign-ins, matter creation, uploads, downloads, deletions, status changes, schedule uploads and practitioner sign-off are recorded with the person and time. Your firm can see the log for its own matters.

Deletion on request

Your firm administrator can delete a matter and all its files at any time. Documents are deleted 90 days after a matter is closed. You can also ask us to delete your data.

Optional two-factor sign-in

Each user can add an authenticator-app code to their sign-in from Account settings.

Where data is hosted

LedgerSense data is hosted with Amazon Web Services in the US East (N. Virginia) region. Contact us if your matter requires UK-only hosting.
